Description

If you are selected as the Information Management & Document Control Lead, you will provide leadership and coordination in support of the preparation, tracking and logging of engineering data, drawing, documents and vendor information. You will collaborate with the project team, EPC, construction group, suppliers and Operations to ensure the all data/drawings/documents are managed accurately throughout of the life of the project and handover to Operations. This role is directly accountable to the Gulf Coast Business Unit (GCBU) Development Engineering Supervisor to provide engineering deliverables and quality management on engineering systems used and data generated for projects.

Your responsibilities may include:

  • Lead a qualified team with focus on planning for a resource pool (employee and contractor staff) capable of responding to near and long-term project and program requirements

  • Serve as process owner and administrator for information management systems, portals and collaboration tools

  • Help drive collaboration on systems and workflows

  • Provide recommendations and alternatives to drive continuous improvement on the overall management and retrieval of engineering, technical, financial and management data, systems, and tools

  • Ensure the accurate distribution of all documents generated by the site team using appropriate matrices and tracking procedures

  • Collaborate closely with project teams to establish and coordinate document control reports (status, progress, and forecast) to be run on a weekly/monthly basis as part of standard project key performance indicator functions

  • Lead successful document flow within the project and build/maintain document distribution matrix

  • Establish and coordinate document “team working areas” for uncontrolled documents and informal sharing

  • Provide a SPOC to address project inquires and related engineering deliverables, prescribed processes and systems used by CPO to initiate, track and handle engineering data

  • Analyze data for reports and ad hoc projects

  • Participate in quality audits of incoming and outgoing documentation to ensure compliance to company standards

  • Ensure the maintenance and conversion of active and inactive well files

  • Provide clear and accurate responses to contractors and vendors on all document control queries and issues

  • Execute project archiving and handover to Operations

  • Support Records Management Compliance activities

Qualifications:

Basic/Required:

  • Must be legally authorized to work in the United States as a U.S. citizen or national, or an alien admitted as a permanent resident, refugee or asylee

  • 3 years of information management and document control experience

  • 1 years of experience in the oil and gas industry

  • Intermediate proficiency with SharePoint, Adobe Acrobat and Microsoft Office Suite

  • Intermediate proficiency in document digitization, the use of scanning equipment and the document conversion process

  • Willing and able (with or without reasonable accommodation) to 10% travel on a yearly basis

Preferred:

  • 7 years of information management and document control experience

  • 3 years of experience of in the oil and gas industry

  • Experience with Livelink, McLaren Document Management & Intergraph product suite

  • Transmit information so it is received and understood in the way it was intended

  • Manage tasks to effectively and efficiently complete work responsibilities of self and others

  • Takes ownership of actions and follows through on dedications by holding others accountable and standing up for what's right

  • Delivers results through realistic planning to accomplish goals

  • Builds effective solutions based on available information and makes timely decisions that are safe and ethical
