Alaska Overview

ConocoPhillips Alaska and its heritage companies have more than 50 years of business history in Alaska. As Alaska's largest oil and gas producer, the company produced an average 182 thousand barrels of oil and 9 million cubic feet of gas per day. ConocoPhillips, with about 1,100 Alaska employees, holds major ownership interests in the Prudhoe Bay Unit, the Kuparuk River Unit, and the Colville River Unit (Alpine). ConocoPhillips operates the Kuparuk and Alpine oil fields, has an ownership interest in the Trans Alaska Pipeline System (TAPS) and owns/operates the Polar Tankers fleet.

Description

Alaska Finance is seeking an administrative assistant to support the finance and tax functions. As part of the finance and tax function, the administrative assistant must be able to maintain confidentiality, interact effectively across functions, support a variety of assignment and prioritize competing tasks with limited supervision.

Responsibilities may include:

  • Perform Delegation of Authority and Contractor internal audits

  • Process and code checks in SAP and prepare for deposit

  • Coordinate Document Records Management compliance

  • Support tax appeals by establishing and maintaining electronic/paper case files, calendaring and tracking deadlines, maintaining budgets and costs, and transcribe hearings

  • Liaise with IT to resolve issues with supported groups phones, computers, and printing equipment

  • Manage office supplies and office moves, scheduling meetings and travel, preparing travel and expense reports, and distribute mail

  • Prepare and maintain "on-boarding" materials for new incoming employees including office procedures, ergonomic evaluation, desk and office equipment, arranging initial safety training, badging, and other support as appropriate

  • Coordination, logistics and hospitality for Corporate and external auditor visits

  • Professionally interact and collaborate with company personnel and external business contacts

  • Handle sensitive and confidential information appropriately

  • Prepare correspondence for internal and external purposes including drafting of original text

  • Coordinate community service events such as United Way, Day of Caring event, and other company functions for supported groups

  • Provide back-up coverage on an as-needed basis for other Administrative Assistants

Qualifications:

Basic/Required:

  • Legally authorized to work in the United States

  • 5 years of experience as an administrative assistant

  • Proficiency in Word, Excel, and PowerPoint

Preferred:

  • Knowledge of SAP

  • Excellent interpersonal and time management skills

  • Ability to work with minimal supervision

  • Excellent computer hardware and software skills

  • Must be able to set priorities and follow through on assignments with limited supervision

  • Manage multiple tasks simultaneously and able to excel in a fast-paced environment

  • Actively seeks out varied people and organizations to collectively achieve business goals

  • Builds positive relationships across organizations that foster a strong work environment
